Search this question and page 1 answers a different one. The ranking pages tell homeowners what a recharge should cost them, which means your customer has read them and you mostly cannot. None of them walk an operator through setting the number. This guide does it from the operator's side: where the per-pound price comes from, why it cannot be one blended figure across refrigerant types anymore, what changed in the rules this year, and how to put the line on the invoice so it survives the comparison your customer is already primed to make.
The short answer: build the price in three layers, then re-check it every season
A defensible per-pound price is three layers stacked. The first layer is replacement cost: what your supply house will charge you for the next jug of this refrigerant, not what you paid for the one on the truck. The second layer is what it costs to move a pound legally, which includes the recovery machine, the scale, the cylinders, the reclaim runs, and the EPA Section 608 certification that lets you touch the stuff at all.5 The third layer is margin, and it should reflect who carries the risk of holding a regulated, shrinking commodity on a truck through a hot season. Set the number once per refrigerant type and write it down, then re-check it when the season turns or when your supplier repricing tells you to, whichever comes first. The shops that get hurt are not the ones charging too little per pound on purpose. They are the ones still charging a number that was right two jugs ago.
Why refrigerant is the one truck item that reprices itself
Most things on a service truck get more expensive the ordinary way, a few points a year. Refrigerant is different because Congress scheduled its scarcity. Under the AIM Act, the EPA caps how much HFC refrigerant can be produced or imported each year, and the cap steps down on a published schedule, from 60 percent of baseline now to 30 percent in 2029, and further after that.1 R-410A, the refrigerant in most of the installed residential fleet, lives under that cap. The fleet it serves is not shrinking anywhere near as fast as the supply is, and that gap is a price with a direction.
The trade has watched this movie before. Production and import of virgin R-22 ended on January 1, 2020, and every pound sold since then has come from reclaimed or pre-ban stock.2 Operators who serviced R-22 equipment through that phaseout saw per-pound prices multiply, and the ones who kept billing at the old number quietly funded the difference themselves. R-410A is now in the early chapters of the same story.
Meanwhile the replacement refrigerants arrived with their own volatility. Since January 1, 2025, components manufactured for new residential and light commercial systems must use refrigerants under a global warming potential limit of 700, which in practice means R-454B or R-32.3 The transition squeezed supply of the new refrigerants just as demand for them appeared, and shops quoting R-454B in 2025 and 2026 have seen supply-house pricing move between jobs. The point is not any single price. The point is that every refrigerant on your truck now sits at a different place on a different supply curve, which is why one blended per-pound number cannot price all of them.
The three layers behind the per-pound number
Layer one: replacement cost, not purchase cost. The jug on the shelf is sunk money. The question the per-pound price has to answer is what it costs to put that pound back, because that is the bill you will pay next week. In a market where the supply steps down by law, pricing from the receipt instead of from the replacement quote means every pound you sell is cheaper than the pound that replaces it, and the margin you think the line is earning is partly a refund of your own inventory. This is the same discipline that applies to any part on the truck, covered in how much contractors should mark up materials, but the stakes are higher here because refrigerant repricing is structural rather than cyclical.
Layer two: the cost of moving a pound legally. A pound of refrigerant does not walk from the jug to the coil. It rides on a recovery machine and a charging scale, then on recovery cylinders that get hauled back for reclaim, and all of that sits on top of a technician whose time is the largest cost on the call. The Bureau of Labor Statistics puts the median wage for HVAC mechanics and installers at $59,810 a year as of May 2024, and the loaded cost of a certified tech runs well above the bare wage once the truck and the unbillable hours are on it.6 Some of that lives in your labor rate, but the handling overhead specific to refrigerant belongs in the per-pound price, because it scales with the pounds, not with the hours.
Layer three: the certification and liability premium. Only a Section 608 certified technician can legally service the refrigerant circuit, and venting is a federal violation. The paper trail rides on your license, not the customer's.5 When a homeowner pushes back that the pound costs a fraction of your price at wholesale, this layer is the honest answer: they are not buying the pound, they are buying the pound installed by the person legally allowed to install it, with the recovery work and the liability included in the rate. Price the premium deliberately instead of letting it hide inside a number you cannot explain.
R-410A, R-454B, and reclaimed R-22 need different numbers
The rows below describe where each refrigerant sits, not what to charge. Set a separate per-pound price for each type you carry.

Reclaimed refrigerant is also becoming a bigger part of the supply picture by design: as of January 1, 2026, EPA rules cap reclaimed HFC refrigerant at no more than 15 percent virgin product by weight, part of a program built to push servicing toward recovered refrigerant as the virgin supply steps down.4 If your supply house starts quoting reclaimed alongside virgin, treat them as two acquisition costs feeding the same per-pound sell price, and keep the type on the invoice either way.
The top-off is a decision, not a default
A system that is low on refrigerant is leaking. Sealed circuits do not consume their charge. So every top-off call is really a fork: search for the leak now, or knowingly sell refrigerant into a system that will leak it out again. There are defensible reasons to take the second path, an August heat wave and an occupied house among them, but it should be a documented choice the customer made, not a default the invoice hides. Offer the leak search as its own priced line, distinct from the diagnostic fee that got you to the unit, and when the customer declines it, write the decline on the invoice next to the pounds added. The paperwork half of this stopped being optional for part of the market this year. Since January 1, 2026, appliances holding 15 pounds or more of an HFC refrigerant with a GWP above 53 are subject to federal leak repair requirements: above set leak-rate thresholds, the leak must be repaired.4 Most residential split systems sit under that threshold. A lot of the light commercial equipment that small shops service does not. For those units, the pounds you added and the dates you added them feed a leak-rate calculation the rules care about, and the operator whose invoices already name the refrigerant and the pounds, with the leak-search decision noted, has that record built before anyone asks for it.
The customer who already read a cost guide
Assume the customer has a number in their head. Homeowner-facing cost sites publish per-pound recharge ranges, and whatever range they read is now the anchor your invoice gets measured against. You cannot control the anchor. You can control whether your invoice reads like a number or like a receipt.
A lumped line that says "refrigerant recharge, $600" invites the comparison fight, because it gives the customer nothing to compare except the total against the anchor. A line that says "R-410A, 3 lbs @ $85/lb" plus a separate line for the diagnostic changes the conversation: the customer can see what was added and at what rate, next to a named refrigerant, and the rate is the only thing left to discuss. That is a conversation you can win, because the rate has three layers of real cost behind it and you know what they are. Naming the refrigerant type is not decoration. Types differ in cost by multiples, and an invoice that names the type is the only kind that can explain why this recharge cost more than the neighbor's. A worked example: one low system, two ways to bill it
Every dollar figure below is illustrative, chosen to show where the money moves. Set your own numbers from your own supplier quotes.
A four-ton R-410A heat pump is cooling poorly. The diagnostic finds it three pounds low. The 25-pound jug on the truck was bought last season for $375, which is $15 a pound of sunk cost. The supply house quotes $525 for the next jug, which is $21 a pound of replacement cost. The shop's per-pound sell price, built from the $21 replacement base plus the handling layer and margin, is $85.
Billed as a receipt, the invoice reads: diagnostic fee, $95; leak search offered and declined, noted on the ticket; R-410A, 3 lbs @ $85, $255. The customer sees what was bought. The shop cleared the replacement cost of the pounds with the handling and the risk paid for. And if the unit is back next June, the ticket already shows the leak was the customer's call, which turns the awkward second visit into the leak-search sale the first visit set up.
Now bill the same call the sloppy way: "AC recharge, $350," priced off the sunk $15 jug math and a round number that felt fair in the driveway. The customer anchored at a cost-guide range reads $350 against it and feels fine, but the shop just sold three pounds it will replace at a higher price and absorbed the handling cost inside a number that cannot explain itself. The leak decision left no record at all. Multiply that across a summer of top-offs and the truck is running a small refrigerant charity, which is the polite name for pricing a shrinking commodity at last year's cost.
